Conditions of Hire
Pewterers' Hall, London

  • It is important that you read and understand the terms under which we agree to hire the hall and supply services. Confirmation of booking our services in writing will be taken as acceptance of our quoted charges and these terms.
  • When a provisional booking is made, it must be confirmed within 48 hours.
  • When a firm booking is made a booking form must be filled out and either emailed or faxed, with all requirements (numbers, caterer, extra equipment needed, room setup, etc).
  • The Company must receive a 25% deposit prior to the event being held.
  • All details must be in writing and firmly fixed before the event.
  • If the details of your event are not faxed or emailed to the Hall, the Beadle and his staff are not responsible for any details which have been omitted.
  • When a firm booking is made and then cancelled at short notice, a full charge will be made.

HIRE OF THE HALL

  • Guests will at all times be required to behave in an appropriate manner and will respect the instructions of members of staff.
  • Hire charges are for specific hire periods. If your event extends beyond this period, and we are able to allow it to continue, the additional hourly rate will apply.
  • We reserve the right to accommodate other events or groups in rooms not included in your hire.
  • We reserve the right to reject a booking application if we do not consider it suitable for our premises.

PAYMENT AND CANCELLATION

  • A firm booking will only be accepted on receipt of a 25% deposit.
  • Remaining charges will be invoiced after the event and are payable within 21 days.
  • The minimum cancellation charge is 25% of the total expected bill. This will increase to 50% within two weeks of the event and up to 100% within the week.

EXTRA TIME

  • There will be an extra charge of £150.00 when the Hall is required for an event to begin before 9:00 am.
  • For any time after 10:30 pm that the Hall is in use, there will be an extra charge of £200.00 per hour or part of up to a MIDNIGHT DEADLINE, plus any additional costs incurred by the Beadle. It is mandatory that when the Hall is in use, subject to numbers, the Beadle will engage cloakroom staff.

CATERING NUMBERS

  • Please contact the Beadle for a list of approved caterers.
  • Please note that all prices quoted by the caterer are for a specific number of guests. When numbers drop, their overheads do not reduce proportionately. When numbers, increase an additional cost may be incurred.
  • The caterers will require confirmation of numbers to be catered and charged for by the Friday of the week before the event (or for Monday and Tuesday functions on the previous Wednesday). After this date, increases in numbers of 10 people can usually be accommodated but no allowance can be made if numbers drop.
  • If the number of guests attending exceeds the number booked (and they are able to cater for them), the caterers will charge for the greater number.
  • If the number of guests attending is less than the number booked, the caterers will still charge for the total number booked.

DAMAGE TO PROPERTY

  • If the Hall or its contents are wilfully or negligently damaged or stolen during a function, the cleaning and/or replacement cost will be payable by the client.

DISCLAIMER OF LIABILITY

  • Neither the Worshipful Company of Pewterers nor its servants or agents shall be liable for any loss, damage or injury to any person or property, whatsoever, caused by or arising out of the hire of its Hall whether such loss, damage or injury may arise as a result of the negligence of the Worshipful Company of Pewterers, its servants or agents or in any other manner, and every person using the Hall shall be in every respect at his or her own risk.

Insurance

  • The Pewterers' Company maintains at its own expense indemnity insurance for hirers of the Hall in respect of their legal liability for injury of third parties and damage to third party property.
  • The indemnity required from hirers will, therefore, only be applicable in respect to claims not covered by this insurance.

Methods of Payment

  • Cheques made payable to The Worshipful Company of Pewterers
  • BACS payments are also accepted.
